Camp Integration - To assist with communication between the camp provider and the project administration a module was developed to upload camp room data into WorksLink so that admin staff were always aware of which rooms were being occupied and by whom.
Corporate Timesheets - Corporate timesheets consisted of an Excel Sheet within an Excel Workbook for each Employee for each week. This format is useful for reducing confusion when filling out the timesheets, however it makes reporting a nightmare for the project. WorksLink was able to generate the Excel files in identical format to that required by corporate.
Daily Site Diary - Daily Hours and Costcodes are recorded on the Daily Site Diary and is signed off by the Supervisor. The Daily Site Diary also listed the Costcodes worked on by Employees for the previous day. Alternatively, if the Employee was away the Leave Type was listed (eg R&R, RDO, Sick). Also any travel to and from site was listed against each employee.
Manpower Allocation - Each Employee on site is allocated to a Supervisor Workgroup. There are a number of Workgroups on a site like this such as Electrical, Mechanical, Civil, Piping, Safety and Staff. Each Supervisor is allocated to a Workgroup thus forming a Supervisor Workgroup. Each Supervisor Workgroup had a Daily Site Diary for recording hours worked and keeping the Supervisor Workgroup up to date with roster and other information.
WorksLink keeps a history of who worked on which Supervisor Workgroup for each day of the project. Also WorksLink allowed Project Management to reorganise the workforce days ahead of the actual reassignment of people to different workfronts. This was beneficial when the project reached critical turning points.
Payroll Integration - Corporate Timesheets that were filled out on site were manually re-entered into the corporate payroll system. Subsequently the corporate payroll system generated a summary report of hours record for each employee each week. By marrying up the corporate report with WorksLink we were able to prevent significant overpayments from occurring, thus avoiding issues with the client.
Progress Measuring - Each item to be installed was allocated a Commodity Code. Each Commodity Code was associated with a percentage to be awarded at each stages of progress. This information then fed into the planner's production of the S-Curve.
Travel - This site was serviced by 5 airports, all within 150km range. Functionality was developed to assist site personnel to be aware of who was flying in or out of each airport each day to reduce confusion. Some employees took a total of 3 flights just to get between site and home. WorksLink significantly reduced the burden on site administration staff in the Travel area.
