Business Hierarchy - This project consisted of two companies in Joint Venture reporting to the client.
Client Payments - Payments made by the client against contract variations were automatically imported from the spreadsheet received from the client each month into WorksLink for further analysis.
Client QMR - The Client QMR was a multi-password protected Excel spreadsheet consisting of over 3000 line items and was required to be reported against on a weekly basis. This was the report where labour hours and quantities installed were recorded so that the contractor could receive payment. This report was especially complex as new items were randomly added to it each week or were moved around or the key identifier against each row was changed. WorksLink dramatically simplified this report making accurate reporting possible. WorksLink also picked up where changes had been made by the client during the week.
Corporate Timesheets - The timesheet required by corporate for this project was also a multi-worksheet Excel spreadsheet that was required every two weeks. This spreadsheet was particularly large and unwieldy. WorksLink automated the generation of this spreadsheet to a task that took less than 20 seconds.
Internal QMR - A couple of day before the Client QMR was submitted to the client each week the Internal QMR was generated for a weekly meeting where the Project Manager would meet with Supervisors, Engineers and Commercial people to finalise the labour hours and material quantity information that would be submitted to the client each week. Previously there had been many different adhoc created spreadsheets printed for the meeting so the consistency provided by automatically generating this report reduced confusion and simplified the meeting.
Monthly Accruals - Producing end of month accruals information is a tedious task for site admin staff to perform. WorksLink was able to generate the required Excel spreadsheet of information in exactly the format required for subsequent upload into the corporate accounting system.
S-Curve - With Quantity and Manhours being recorded in WorksLink, various S-Curves were able to be generated from WorksLink based on the Separable Portion of the project as well as the project as a whole.
Variation Register - This project included several hundred variations and managing them via a separate spreadsheet became unwieldy and inaccurate. The Variation Register in WorksLink automatically calcuated costs against each variation. Also the commercial staff member responsible for managing the variations was notified when letters were due to be sent to the client regarding individual variations as per contract requirements.
Weekly Site Report - This three worksheet Excel spreadsheet was generated by WorksLink each weak prior to the Weekly Contractors meeting between senior staff from both the contractor and the client. This report contained a variety of information that was relevant to the meeting including a breakdown of the types of employees on site each day, hours used in non-construction tasks, weather information, and progress percentages by Separable Portion of the project.
